Moving email is worrying for two reasons: losing messages and being left without email. We plan it to avoid both.
From where, to where
- From a hosting provider or another mail server to Microsoft 365 or Google Workspace.
- From an in-house mail server to the cloud.
- Between Microsoft 365 and Google Workspace, either way.
- Between two Microsoft 365 organisations, for example when companies merge or split.
How we do it
- We look at what you have and plan the move: what goes and when. Everyone knows in advance what they'll see.
- We copy your email while you keep working with your current system.
- We switch over on the agreed day, usually outside working hours.
- We check that everything sends and receives, and leave Outlook and phones ready to use.
For businesses with many mailboxes or several sites, the move can be done in stages.
Frequently asked questions
Will I lose any email?
You shouldn't: we plan it so nothing gets lost. If something can't be moved exactly as it is, we tell you beforehand.
How long will we be without email?
Usually nothing you'd notice: the switch happens outside working hours. What does change is the setup of Outlook and your phone, and we take care of that.
Do our email addresses stay the same?
Yes: the domain is still yours. What changes is where the email is stored, not the address.
What about calendars and contacts?
They're moved too. Anything that doesn't carry over the same way, such as some rules or signatures, we review and set up again.
Microsoft 365 or Google Workspace?
Both work well. If your business lives in Word, Excel and Outlook, or uses software that integrates with Windows, Microsoft 365 usually fits better; if you work mostly in the browser with shared documents, Google Workspace is simpler. We work with both and recommend whichever suits you.
